Sales Operation Manager

FC-Professional (~€2.4B NS) –FAT valorization at a profitable growth YoY. FC-P will drive farmer profit in the B2B customer channels and is the go-to-partner (in dairy and plant-based value-added ingredients) for our customers. In close cooperation with customers and through the exchange of in-depth market, ingredient and application expertise, FC-P helps customers to win in their markets. FC-P is a global business with local offices, and dedicated product and application development and production facilities around the world.

FC-P in Malaysia launched its Global professional brand “Debic” and local brand “Dutch Lady Professional” in 2021 while with QSR we already had a strong presence of Ice & Shake business. The vision is to become the most preferred European dairy brand in Malaysia/Singapore. With sustained momentum in the business and overwhelming response from operators the business and team size continue to grow.

As FC-P Malaysia continue to expand, we need an experience sales operation manager to join the team to support Distributor Managers and Key Account Managers on day-to-day operations, and to lead process improvement to drive efficiency of business.

What we ask

  • Diploma / Bachelor Degree in related fields

  • At least 5 years of relevant experience, preferably have experience managing distributors and key account customers on order fulfilment

  • Fluent in spoken and written English, ability to communicate in Mandarin will be an added advantage

  • Good data analysis skills and attention to details

  • Flexible with changes and can-do mindset

  • Must be able to travel, this role will requires the incumbent to travel within Malaysia every quarterly

Vacancy description

1)    Distributors’ order fulfilment

  • Work with distributor managers to plan monthly order quantity and ensure monthly sell in volume are achieved as per forecast

  • Keep track distributors PO and ensure DLMI fulfils Dutch Lady orders on time

  • Keep track distributors PO and liaise with Lummen / Netherlands factory on Debic production timing, and monitor ETD / ETA shipment timing

  • Single point of contact to liaise with distributors in case of any delay in order fulfilment / request of any documents

  • Single point of contact to liaise with Lummen / Netherlands factory planner in case of any changes in shipment timing request

 2)    Key account customers’ order fulfilment

  • Monitor key account order fulfilment by distributors

  • Find solutions in case of out of stocks situation

  • Communicate with key account customers on stocks situation

 3)    Stocks management

  • Represent FCP to attend weekly production planning meeting with DLMI

  • Monitor all distributors stocks level to ensure distributors keep agreed buffer stocks

  • Work with distributors & facilitate stocks transfer between distributors to avoid out of stocks situation

  • Work with other countries / Lummen factory to get Debic stocks to avoid out of stocks situation

  • Plan stocks depletion whenever there is aging stocks situation to avoid write off

  • Conduct stocks take at distributor warehouse on quarterly basis

 4)    Demand Forecasting

  • Work with Distributor Managers & Key Account Managers on demand forecasting

  • Align demand forecast with country lead and ensure submission on time

  • Work with demand planner to keep track forecast accuracy

 5)    Account receivable

  • Follow up on account receivable / customer payment

  • Follow up with internal relevant people on credit block

 6)    Pallet management

  • Coordinate between distributors and DLMI supply chain on pallet related matters

 7)    Complaint coordination

  • Work with distributors & key account customers whenever there is quality complaints to ensure complaints are logged in properly

  • Take the lead to keep track all the complaints submission to QA and follow up with quality investigation outcome

  • Communicate to distributors & key account customers on quality investigation outcome

  • Ensure distributor / customers receive their credit notes on time.

 8)    Discount accrual & claims

  • Work with FCP admin to ensure discount accrual are done on time & balance accrual are released on time

  • Work with Distributor Managers & Key Account managers to ensure correct discount accrual are done as per contract

  • Ensure distributors submit claims on time & FCP admin processes all the claims on time

  • Coordinate between DMS team and distributors whenever there is DMS related issues

 9)    Contracts & Agreement Tracking

  • Keep track of all the customer contracts and ensure Distributor Managers & Key Account Managers renewed contracts on time

  • Ensure Distributor Agreement is renewed & updated with latest commercial terms

 10)  Incentive Calculation

  • Work with FCP admin to calculate distributor incentive on quarterly basis

  • Ensure distributor incentive are processed on quarterly basis

 11)  Data tracking

  • Work with Country Lead to develop power bi operation dashboard

  • Prepare sell in, sell out & penetration reports for Distributor Managers and Head of Food Service for Monthly Business Review

 12)  Market Intelligence

  • Keep track on market dairy pricing in bakery ingredient shops and retail channel at a frequency agreed with Country Lead

FrieslandCampina Professional MYSG has a small team and lean structure. The successful candidate will be directly reporting to Country lead and will have a Sales Operation Executive team member. The Sales Operation Manager will be working with multi-disciplinary team from local opco and with regional team. You will be based in Malaysia, Kuala Lumpur.
