Stellenbeschreibung
Handle receptionist responsibilities including, but not limited to the hospitality of internal visitors and external guests, provide outstanding assistance service to Office Management.
1. Reception Tasks:
• Train and coordinate trainees who help at the reception.
• Welcome guests promptly and professionally, providing necessary assistance.
• Manage visitor passes according to company policies, maintaining accurate records.
• Handle incoming phone calls, mails, and couriers, taking and delivering messages.
• Track outgoing post and courier deliveries, ensuring timely dispatch.
2. Facility Management Tasks:
• Support the office manager in tracking and ordering office supplies, and approve invoices in Coupa.
• Facilitate direct communication with RFC visitors, arranging hotel accommodations and taxi services.
• Arrange food and beverage for trainings and office events, ensuring adequate refreshments.
• Coordinate event-related services, including requesting quotes, placing orders, managing payments, and monitoring expenses.
• Organize events within allocated budgets, including budget planning, activity coordination, and supply ordering.
• Draft internal communications for various platforms and maintain accurate expense records.
• Handle departure processes for leavers, including preparing handover documents.
• Manage corporate phone services during onboarding, maintenance, and exit procedures.
• Provide assistance with CWT related questions during business trip planning.
3. Project Related Tasks:
• Create and update Standard Operating Procedures (SOPs) as required.
• Actively participate in new projects aimed at improving facility management processes.
