Legal Operations Administrator (GBS)
We are looking for a new Legal Operations Administrator to join our Ethics & Compliance team, and support us in our journey to further embed and improve Compass, our code of conduct across our organization. As part of the Global Legal, Ethics & Compliance team, you will work closely with the team on topics such as Speak Up – our whistleblowing process, building our Local Trusted Representative community, as well as the screening of our 3rd party suppliers. This role is an essential element in the smooth running of the Compass programme and will help us in optimizing our processes and ensuring efficient and effective use of our technology platforms

The ideal candidate:
- Has completed a higher education (not necessarily law/legal related, however that can be an advantage)
- Has interest in ethics & compliance and preferably work experience in this area
- Enjoys working with different technical platforms
- Considers teamwork and helping others an essential part of any job
- Have a genuine curiosity to improve how things are done
- Is fluent in English (both written and verbal)
- Potentially has experience in project management

Stellenbeschreibung
- Management of our confidential Speak Up Case Management System (CMS) to ensure timely response to all reporters as well as contributing to efficient ongoing case management
- Liaising with our global community of Speak Up Case Owners to ensure all investigation materials are properly uploaded and maintained within CMS
- Liaising with our global community of Local Trusted Representatives (LTRs) to ensure all conversations are properly logged within CMS
- Acting as Secretary to the Speak Up Committee. This Committee reviews all new and ongoing cases, assigning Case Owners and supporting ongoing investigations
- Quarterly reporting on Speak Up statistics through the preparation of global and Business Group specific dashboards. The dashboards are an important source of information for our senior management to understand and respond to Speak Up trends
- Management of our 3rd party screening tool to identify and report on any potential violations in order to take early mitigating actions
- Evaluate and process low-risk compliance findings for newly created business partners to ensure smooth onboarding and business continuity. Continuously monitor and reassess existing business partners to safeguard the company's reputation and mitigate potential risks
- Supporting the Ethics & Compliance team with the management of our global Case Owner community, ensuring we maintain an up-to-date overview of all members
- Supporting the Ethics & Compliance team in the onboarding, training and management of our Local Trusted Representatives (LTRs) community. Our LTRs are confidential advisors appointed within each business unit to support our employees with any business conduct related questions or concerns they may have
