Logistics Operations Coordinator

FrieslandCampina has been bringing cheese into the US for over half a century. Over the past 2 years we have established a regional operations office in Paramus, NJ. and a sales team located throughout the US. We are excited to be expanding our team to assist with increasing our branded presence in the marketplace through building partnerships with our retailers and distributors to offer a variety of cheeses and dairy products to our customers for every occasion.

 

FCCD is looking for an individual to fill our new Import Operations Officer role. We have a fantastic opportunity for a very-detailed oriented professional to take on this role and assist with a crucial part of the business – importing of our cheese. The right individual will bring experience in clearing containers, managing the paperwork process and regulations

 

Key Responsibilities:

 

   Operational Import Customs Clearance Documentation 

  • Prepare and update shipping documents and checklists in SAP/Navision systems.
  • Create purchase orders based off recommended inventory levels
  • Ensure attestation of shipping documents in a timely and efficient manner.
  • Check the shipping certificates, document copies from supply points and highlight errors so that corrective actions can be taken.
  • Coordinate with distributors on transmission of documents.
  • Work in close coordination with the customer care and logistics departments with regards to shipping documents handling and certification.
  • Shipping: Negotiate ocean rates, pier trucking and outbound shipping.
  • FDA/Customs clearance. Send instructions to Customs brokers. Deal with FDA/USDA and Customs issues and regulations.
  • Place and receive (foreign) Purchase orders into systems & create sale in transits for license holders.
  • Assist in administrating license portfolio qualifying license holders.
  • Maintain license database in Microsoft Access.

 

  Tactical Import Customs Clearance Documentation 

  • Ensure timely Customs clearance of all inbound goods.
  • Minimize detention and demurrage costs working closely with shipping lines and Customs.
  • Responsible for compliance to all import/export regulations for relevant trading entities, including import tax and VAT compliance.
  • Ensure timely renewal of all import and export licenses with the government organization. 
  • Close coordination with the transport companies to ensure that the required equipment is available and delivered.

 

   Order processing & transport planning

  • Create and complete (incl. documentation) deliveries, shipments and book transports in correct (Logistic) system. Verify provided information and distribute information to stakeholders (e.g. LSP or related Warehouses) according to set deadlines.
  • Create Transport planning to attain optimal workflow through warehouse, including check warehouse inventory on availability of free for sales quantities and correct shelf life of shipments (FEFO-check).
  • Communicate transport planning to Warehouse, LSP, distribution companies and all other relevant management otherwise involved.
  • Communicate involved management in case of delay due to transportation issues (late trucks, breakdowns, etc.).

 

   Correct transport administration

  • Report any shortage in orders to involved management.
  • Verify correct booking of orders (e.g. correct order dates, early order departures removal).
  • Check, verify, confirm and link incoming invoices to correct Fighting Units.
  • Executes Clean Desk activities (i.e. follow up delayed operational activities).

 

Export order & documentation coordination if needed /occasionally

  • Maintain overview of incoming export orders, transport planning for export orders and corresponding stock changes
  • Checks required documentation for export orders (e.g. certificate of origin, FAVV/COKZ certification, customs administration, health certificates, other legalized documents) for specific destination/customer by correct documentation and in concurrence with requesting customer.
